These terms apply to all users, clients, and partners engaging with EventSphere’s event planning services. It is important that you read these terms carefully before proceeding. Your use of our website and services constitutes your acceptance of these terms. If you do not agree with any part of these terms, please refrain from using our services. EventSphere reserves the right to modify these terms at any time, and any changes will be effective upon posting.

1. Services Overview

EventSphere provides a range of event planning services tailored to meet the needs of our diverse clientele. Our services include planning and executing corporate events, weddings, private parties, and other special occasions. We are committed to delivering high-quality, creative solutions that ensure each event is unique and memorable. 2. Booking & Payment

To initiate the event planning process, a booking must be secured with a deposit payment. This deposit confirms your reservation and allows us to allocate resources and begin planning. The deposit amount and payment schedule will be specified in the service agreement. The remaining balance is due before or on the day of the event, as agreed upon. Payments can be made via various methods, including bank transfer, credit card, or other agreed-upon payment options. All payments must be completed promptly to avoid any disruptions to the service provided.

3. Cancellations & Refunds

In the event that you need to cancel your booking, please provide written notice as soon as possible. Cancellations made at least 30 days before the event are eligible for a partial refund, subject to any costs already incurred by EventSphere. Cancellations made within 7 days of the event are non-refundable. We reserve the right to retain the deposit and any other pre-paid amounts to cover administrative and planning costs. Special circumstances may be considered on a case-by-case basis, and we will strive to accommodate reasonable requests.

4. Client Responsibilities

Clients are required to provide accurate and timely information about their event requirements, including guest lists, venue details, and any special requests. This information is crucial for the successful execution of the event. Clients must also ensure that all necessary approvals and permits are obtained where required. Failure to provide complete and accurate information may impact the quality and delivery of our services. Additionally, clients are responsible for any damages or issues caused by their guests during the event.

5. Vendor Relations

EventSphere may collaborate with third-party vendors to fulfill specific event needs, such as catering, decoration, or entertainment. While we facilitate communication and coordination with these vendors, EventSphere is not liable for any issues or disputes arising from vendor services. It is the client’s responsibility to address any concerns directly with the vendor. We carefully select vendors based on their reputation and quality of service, but cannot guarantee their performance beyond the scope of our contractual arrangements.

6. Intellectual Property

All content, including logos, designs, and materials created by EventSphere, are the intellectual property of EventSphere. Unauthorized use, reproduction, or distribution of these materials is prohibited. Clients may use EventSphere’s materials solely for the purposes outlined in their service agreement. Any infringement of intellectual property rights will be pursued through appropriate legal channels. We retain ownership of all creative works and concepts developed for client events, unless otherwise specified in the contract.

7. Liability

EventSphere is committed to delivering exceptional service; however, we are not liable for any indirect, incidental, or consequential damages resulting from the use of our services. Our liability is limited to the total amount paid by the client for the services provided. This includes, but is not limited to, any loss or damage incurred due to changes in event plans, delays, or unforeseen circumstances. We take all reasonable precautions to ensure the smooth execution of events, but cannot be held responsible for factors beyond our control.

8. Force Majeure

EventSphere is not responsible for any failure to perform our obligations due to events beyond our control, including but not limited to natural disasters, acts of war, or other emergencies. In such cases, we will make every effort to mitigate the impact and reschedule or adjust services as necessary. Clients will be notified promptly of any such occurrences, and we will work together to find a suitable resolution. However, we cannot be held liable for any resulting delays or additional costs.

9. Confidentiality

We are committed to protecting the confidentiality of our clients' personal and event-related information. All data collected during the course of providing our services is used exclusively for the intended purpose and is stored securely. We do not share or disclose personal information to third parties without explicit consent, except where required by law. Our confidentiality practices are in line with industry standards and applicable data protection laws to ensure your privacy is maintained.

10. Dispute Resolution

In the event of a dispute arising from the use of our services or the terms of this agreement, we encourage open and constructive dialogue to resolve the issue amicably. If a resolution cannot be reached through informal means, the dispute will be settled through mediation and, if necessary, arbitration. The process will be conducted in accordance with the laws of India, and the venue for arbitration will be New Delhi. Both parties agree to adhere to the arbitration decision, which will be final and binding.

11. Termination

EventSphere reserves the right to terminate our services if the client breaches any terms outlined in this agreement. Termination may occur if there is a failure to comply with payment terms, provision of accurate information, or other significant contractual obligations. In the event of termination, any outstanding balances must be paid immediately, and we will cease all services. Clients will be provided with a written notice of termination, detailing the reasons and any applicable terms.

12. Governing Law

These Terms and Conditions are governed by the laws of India. Any legal actions or proceedings related to the use of our services or this agreement must be conducted in the courts of New Delhi. The laws applicable to these terms are those in force in the jurisdiction of New Delhi, and any disputes will be resolved accordingly.

13. Amendments

EventSphere reserves the right to amend these Terms and Conditions at any time. Any changes will be effective immediately upon posting on our website. It is the client’s responsibility to review these terms periodically for any updates. Continued use of our services after any amendments signifies acceptance of the revised terms. We will notify clients of significant changes directly, ensuring they are informed of any material modifications.
